Associate Director, Finance and Operations
We are seeking an experienced and detail-oriented Associate Director, Finance and Operations to join our team. As the Associate Director, you will play a key role in implementing the strategic direction of the association through financial management and office operations.

Summary of Responsibilities:
Financial Management:
- Budget Tracking: Monitor the annual organizational budget performance on a monthly basis.
- Forecasting: Anticipate budget shortfalls or exceeding performance and report as needed.
- Collaboration: Work closely with program staff to track expenses and revenues during and after the planning process.
- Strategic Planning: Contribute to the financial strategic plan through budget management and 5-year projections.
Registration and Sponsorship Revenue Management:
- Tracking: Monitor registration and sponsorship revenue against budget goals.
- Onsite Processes: Manage onsite registration and payment processes.
- Reconciliation: Ensure accurate reconciliation between the registration system and QuickBooks Desktop.
- Chapter Partner Program: Track annual credits, communicate with sponsoring companies, and monitor credit usage.
Accounts Receivable:
- Invoice Processing: Handle invoices from origination to final payment for registrations, sponsorships, advertising, and other revenue sources.
- Payment Plans: Create and manage payment plans as needed.
- Collections: Follow up on payments that are 30/60/90 days past due.
Accounts Payable:
- Vendor Payments: Manage monthly payments to contractors and service providers via check, credit card, and/or ACH.
- QuickBooks Entries: Enter payments into QuickBooks for monthly reporting.
Operations Management:
- Office Operations: Provide direction for the Chapter by organizing, directing, and evaluating day-to-day office operations.
- Supplies and Equipment: Supervise the purchase of supplies, materials, and equipment.
- Member Inquiries: Oversee the general chapter voicemail and email account, ensuring timely responses.
WMCCAI offers a hybrid work environment with three days in the office and employees eligible for two days with approval. There are sometimes more in-office time is required.

Requirements:
- At least 5 years’ experience in non-profit trade or membership associations
- 3-5 years of bookkeeping experience in nonprofit association
- Experience managing staff and volunteers.
- Highly proficient in QuickBooks Desktop
- Proficient at Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Excellent time management and interpersonal skills

- Excellent interpersonal skills, time management skills, and communication skills.
- Comprehensive knowledge of accounting and processes for nonprofit associations
- Detail oriented person, with need for minimal supervision and leadership experience of staff.
- Strong organizational skills and ability to handle multiple overlapping duties with accuracy.
- Ability to work under pressure and meet deadlines.
- Skill in solving problems and making recommendations.
- Strong customer service skills, desire to assist members, and ability to work with volunteers.
- Ability and willingness to work evenings and weekends to staff program offerings.
- Physical ability to move moderately heavy materials.
Additional Salary Information: Salary range for this position is $75,000 - $80,000, commiserate with experience. Benefits package includes 100% coverage for medical and dental insurance premiums for employee, optional vision insurance paid for by employee, 401K with annual match, generous PTO program, and optional flexible spending account.
